Build team commitment with Team Planning sessions

Team planning sessions involve team members Brainstorm resources and tasks on specially formatted postit notes. Participants brainstorm tasks and organize them in sequence in team-planning sessions.

Team planning sessions have many benefits. Teams that develop and refine plans to understand the big picture develop stronger commitment to plans. These sessions also build respect for other team members.

Team planning sessions identify tasks using post-it notes which are organized on sets of flipcharts. When the team planning session is completed then capture the results in Microsoft Project.


Steps in a team planning session include :

  1. Brainstorm tasks
  2. Organize tasks left to right on flipcharts
  3. Brainstorm generic and specific resources
  4. Assign resources to tasks
  5. Estimate work per assignment
  6. Validate plan for completeness

You can build a plan of several hundred tasks in three hours. You can use a team planning session when you have a limited time to build a project plan. The best time to use a team planning session, when you are starting is when you are taking over an existing project and a plan does not already exist.

The weakness of team planning sessions are that you never know when you have identified all the tasks.
